Job description
Job description: The Jewish Board of Family and Children's Services (JBFCS), one of the nation's premier mental health and social service agencies, is looking for a full-time (35 hour per week) Administrative Assistant for the Human Resources Department.

The Administrative Assistant has primary responsibility to the Director of Human Resources. S/he also provides overall support to the Human Resources Department in a wide variety of areas and provides support to any of the disciplines as directed.

For Director of Human Resources:
  • Coordinate director's daily schedule and make appointments.
  • Answer and screen director's telephone calls.
  • Open and review director's incoming mail; prepare draft responses as needed; pull and attach relative information to incoming mail.
  • Compose and type routine correspondence including e-mail and faxes and make copies of correspondence or other printed materials for the director.
  • Maintain and monitor employee personal files.
  • Meet and greet scheduled visitors and employees into the department; direct visitors to the appropriate Human Resource representative; and provide the visitors with procedural advice and forms as needed.
  • Assist with all audits. Coordinate data in response to audits from OMH, OMRDD, OFCS, and other government organizations.
  • Schedule orientation sessions and book conference rooms.
  • Coordinate and arrange department meetings; prepare agendas; and reserve conference rooms.
  • Conduct employee reference checking.
  • Process AP-1's and monitor department's budget.
  • Answer and provide procedural advice to callers on the 1400 line.
  • Assist Senior HR Associate at bi-monthly orientation: process ID's, fingerprinting and coordinate new hire paperwork.
  • Open, sort, and route department's incoming mail.
  • Monitor Debit Card Account.
  • Enter various employment related information into Cyborg system.
  • Monitor department's attendance/absences and submit timesheets to department director for approval.
  • Other duties as assigned.
Req. candidate profile :
  • BA preferred. Minimum of two years HR experience. Strong experience with MS Word & Excel. Excellent organizational, communication, and filing skills. Strong attention to detail. Confidentiality a must.
